Find the work nobody wants to do
Ask everyone on the team to list tasks that are repetitive, rule-based and done at least weekly. Copying data between tools, sending reminder emails, preparing the same report and sorting incoming requests usually top the list.
Score each task
For every task, note three things:
- How long it takes per week
- How often mistakes happen when it is done by hand
- How bad a mistake is when it happens
Start with tasks that take real time, go wrong often and are cheap to fix if the automation slips. Leave sensitive, high-risk processes for later.
Use the tools you already have
Many teams already pay for software with built-in automation: CRM workflows, email sequences, form integrations and spreadsheet scripts. Connecting these with an integration platform often solves a large share of the problem before any AI is needed.
Add AI where judgement is light
AI fits where a task needs reading or writing but not deep judgement: categorising emails, extracting details from invoices, drafting replies, summarising calls or tagging support tickets. Keep a person reviewing the output until the error rate is clearly low.
A simple rollout plan
- Automate one task end to end and document it.
- Run it alongside the manual process for two weeks.
- Measure hours saved and errors caught.
- Share the result with the team, then pick the next task.
Small, visible wins build trust. After a few months the team will be suggesting what to automate next.
